Delivering PRESENTATION

 

PRESENTATION DELIVERY
The primary tool used for presentation in our culture is Microsoft PowerPoint. This software package allows users to present text, images, and audio in a variety of structures. It also allows an interactive format which gives more flexibitlity to the presented media.
 
TEXT IN POWERPOINT
  Text can be imported into PowerPoint as jpeg images, or it can be created inside the program itself.
 
IMAGES IN POWERPOINT
  Putting images in PowerPoint is as easy as installing them in Word. You can find detailed instructions for images on slides in the Manual - PP01 - page 144.
 
DELIVERY - INSTALLING AUDIO IN POWERPOINT
  You now have the ability to bring wav files to your Desktop. We have been doing this using the location and download techniques. Shortly, you will also be creating audio compositions in Audacity. Our communication model indicates that the first step in effective communication is to produce an specified mediaform. The next step in the process, however, is to effectively deliver that mediaform.

Audio files can be delivered through email (as we did last session). Another dynamic delivery method for your audio consists of installing audio (wavs) on PowerPoint slides. Many of you may already know how to do this, but let’s review the method so we can expand our communication model:

  ACTIVITY
  In this activity, you will install audio on a PowerPoint slide. We will just install one audio sound on one slide. If you can do this, then you can install multiple sounds on multiple slides. The concept of one sound on one slide also has interesting production value which we will explore later.
 
a. The first step in this process is to have some wavs in a folder (some sounds, voices, or music you may have collected from the Internet). Make sure you have some sounds you have collected and can easily access them.
b. Now launch Microsoft PowerPoint.
c. When the program opens, make sure you select “Blank” production. We just want a blank slide without any formatting options provided on it (text boxes, etc.).
d. All we need for this particular activity is one slide. We will just install one audio sound on one slide. If you can do this with one slide, then you can install multiple sounds on multiple slides. Note - use the technique provided below to install audio on your slides in PowerPoint. There is another installation technique (TOP MENU BAR - INSERT - MOVIES & SOUNDS). We DO NOT want to use this technique. This technique only LINKS to your audio. When you send the .ppt file to someone, the audio does not accompany the production. The method we will learn below EMBEDS the audio right in the production itself (so it attends the .ppt file).
e. Make sure you are on the slide you want to install sound on. This is important as we will be installing the sound directly on the selected slide.
f. Go to the TOP MENU BAR - SLIDE SHOW - SLIDE TRANSITION.
g. A window will open. This window may be different for different versions of PowerPoint. It may open at the right side of the screen as below (Version 1):
 
  Or, in some versions of PowerPoint, it may open as an independent window such as the one below (Version 2):
 
h. In both versions, Look down the window/menu until you find the panel called “Sound.”
i. If you click the black arrow to the right of this panel, a pop-down window will provide options for Sound installation.
j. Scroll down until you come to “Other Sound.”
k. Release the mouse at this option and a window will appear. Find the location of the folder where your sound files are located (wavs). Select a sound and click INSERT. The selected sound will be installed on the slide.
l. DO NOT click APPLY TO ALL. We only want this sound to be installed on the single target slide. Nothing need be clicked in version 1. In version 2, click APPLY.
m. You now have a technique for installing a selected sound on a slide.
n. Think of how you could use this technique:
 
- put an image on the slide, add a soundtrack, you have a single slide presentation with a soundtracked image.
- think of creating a business card or logo in Photoshop, putting this on one slide, and then adding an audio track to the image. You now have an audio/visual business card.
- Think of other ideas for the single audio/visual slide.
n. Practise using this TTS site. It is a valuable resource. Try some of the other voices and type in your own text. Explore how to best get the exact enunciation you wish. Practise downloading voice files to your Desktop folder. Practise this until you can do it easily.

Note - We will later be able to import these voice files into Audacity and edit them by adding music and sound effects, cutting and pasting the words, etc.
